Overview
We are looking for a flexible, organized, and eager-to-learn individual to join our team as a Front Desk Administrator. This in-office role is central to our client experience and internal operations, offering exposure to a wide variety of tax and financial planning tools and tasks. You’ll be the first point of contact for clients, support key administrative workflows, and assist with light bookkeeping and payroll functions.
Key Responsibilities
Client Interaction & Office Support
Greet clients and visitors warmly and professionally.
Answer phones, route calls, and handle basic client inquiries.
Schedule meetings for tax and planning staff.
Prepare and maintain client folders and meeting materials.
Document Management
Print, scan, and organize client documents.
Upload files to internal systems and ensure proper tagging and storage.
Assist with document collection and follow-up during tax season.
Bookkeeping & Payroll Support
Enter transactions into accounting software (e.g., QuickBooks).
Assist with payroll data entry and coordination with payroll providers.
Help reconcile basic financial records under supervision.
Exposure to Tax & Planning Tools
Learn and work with tools used in tax preparation and financial planning.
Support staff with administrative tasks tied to client deliverables.
Assist with onboarding new clients and organizing intake materials.

Qualifications
Minimum of 3 years of administrative experience in a professional setting.
At least 1 year of experience in a tax or accounting environment.
Strong organizational and time management skills.
Comfortable with technology and open to learning new software tools.
Excellent verbal and written communication skills.
Ability to multitask and remain calm under pressure.
