    A high-performing financial professional, serving high-net-worth individuals, city employee benefit plans, and first responder groups (including Firefighters, Sheriff’s Department, and California Highway Patrol), is seeking a skilled Administrative Assistant to provide critical support across appointment setting, client communications, and marketing material creation. This position is ideal for someone who is highly organized, tech-savvy, and confident working independently, especially someone with experience using AI tools for content creation and client engagement. Role Details: • Location : In-person availability preferred in Riverside County or Orange County, CASchedule : Part-time, flexible hours (15–25 hrs/week), with some remote work possible • Compensation : Competitive hourly rate, based on experience • Growth : Opportunity to expand role based on performance and business growth Responsibilities: Client Coordination & Communication • Schedule and confirm appointments, client reviews, and follow-ups • Draft, personalize, and send high-volume email correspondence • Conduct proactive follow-up calls and emails to ensure client engagement • Track required documents and assist in completing forms for insurance underwriting and financial planning AI-Enhanced Marketing & Outreach • Use AI tools (like ChatGPT or similar) to generate marketing content, newsletters, and email templates • Assist in developing polished, personalized materials for outreach and presentations • Help strategize and maintain a communication cadence with key client groups Administrative Support • Maintain and update CRM systems and digital filing systems • Log communications and manage task follow-ups across the sales cycle • Help with calendar management and document preparation for meetings Qualifications: Experience: • 3+ years in admin support, marketing, or financial services • Familiarity with client-facing communications in professional environments • Prior exposure to underwriting or financial paperwork (a plus) Skills & Tools: • Proficient in Microsoft Office, Google Workspace, and CRM platforms • Comfortable using AI tools (e.g., ChatGPT) for drafting and refining client-facing content • Excellent organizational and multitasking ability • Professional communication style and discretion with confidential information Compensation: $20 - $27 hourly
