Administrative Assistant - Office Manager, Operations & Finance Law
Martino Law Group, LLC is seeking an experienced Office Manager / Operations & Finance Lead to oversee the operational, administrative, and financial coordination of a growing multi‑practice law firm. This is not a traditional assistant role. It is a hands‑on operations position for a professional who enjoys ownership, accountability, and building structure. You will act as the operational backbone of the firm—ensuring systems run smoothly, finances are tracked accurately, workflows are followed, and the Managing Attorney can focus on legal strategy and client outcomes. The ideal candidate is organized, detail‑driven, financially minded, and comfortable making decisions, improving processes, and keeping the firm running efficiently. Responsibilities: Firm Operations & Management • Oversee the daily operations of the law firm to ensure efficiency, consistency, and professionalism • Develop, implement, and maintain operational systems, workflows, and procedures • Monitor deadlines, firm initiatives, and operational priorities to ensure timely execution • Coordinate vendors, services, technology, and office supplies • Maintain organized, secure, and confidential digital and physical records Financial & Billing Oversight • Coordinate billing, invoicing, and administrative financial processes in partnership with accounting • Track expenses, reconcile reports, and support financial organization and forecasting • Monitor operational costs and assist leadership with budget awareness and financial controls • Ensure billing and administrative systems are accurate, timely, and consistently followed Leadership & Administrative Support • Partner closely with the Managing Attorney to manage priorities, scheduling, and firm operations • Serve as a primary point of contact for internal staff and external partners • Prepare reports, meeting materials, and operational updates • Track action items and follow‑ups to completion Judgment, Compliance & Problem‑Solving • Exercise sound judgment and discretion with sensitive firm and client matters • Identify inefficiencies and recommend operational improvements • Adapt quickly to changing priorities in a fast‑paced legal environment Qualifications: • Prior experience as an Office Manager, Operations Coordinator, or Operations Manager; law firm experience strongly preferred • MBA • Strong operational, organizational, and financial coordination skills • Comfort creating, implementing, and enforcing structured systems and workflows • Proficiency with Microsoft Office (Outlook, Word, Excel) and office technology • Ability to work independently, manage multiple priorities, and meet deadlines • Close attention to detail and strong problem‑solving abilities Compensation: $65,000+ yearly
