    The Dale Modern Day Spa in Scottsdale is seeking a proactive, high-performing Administrative Assistant to join our dynamic team. This is more than a support role — we’re looking for a strategic executor who thrives in organization, marketing coordination, and operations. You’ll play a vital role in scaling our business, ensuring operational excellence, and supporting the beauty professionals who call The Dale home. What You’ll Do Work Schedule • Full-time: Monday–Friday, 9:00 AM–6:00 PM • Occasional after-hours on-call duties as needed Compensation & Benefits • Salary: $50,000 – $65,000 DOE • PTO: 10 days paid time off + paid holidays • Healthcare: Comprehensive medical, dental, and vision • Tools: Company phone & laptop provided • Mileage reimbursement for job-related travel Location Requirement Must reside within 20 minutes of Via de Ventura and the 101 (Scottsdale, AZ). Responsibilities: Administrative & Operational Management • Maintain accurate and organized records, tenant files, and digital documents. • Upload and manage internal documentation across platforms. • Act as an expert in company SOPs, ensuring consistency and execution across teams. • Take initiative in refining workflows and automating repetitive processes. Marketing & Content Coordination • Support the creation and auditing of marketing campaigns (digital, social, email). • Help manage our CRM and digital content to boost lead engagement and tenant satisfaction. • Track campaign performance and suggest improvements for future outreach. Billing & Finance Oversight • Own the billing lifecycle: invoice generation, fee tracking, collections, and reconciliations. • Partner with leadership to ensure financial accuracy and timely reporting. • Identify and resolve billing discrepancies with professionalism. Vendor, Tenant & Team Communication • Serve as the go-to contact for tenants and vendors. • Schedule repairs, coordinate suite readiness, and maintain facilities in top condition. • Support onboarding and offboarding processes for new tenants and staff. Qualifications: • 5+ years of professional administrative experience, preferably in property management, wellness, or hospitality. • Proficient in Microsoft Office Suite, Excel, CRM systems, and basic design or scheduling platforms (e.g., Canva, Mailchimp, Later). • Strong organizational and time-management skills — thrives on checklists and deadlines. • Experience managing or coordinating marketing initiatives. • Financially literate and comfortable handling invoicing and collections. • Problem-solver who sees challenges as opportunities. • Positive attitude, high integrity, and a “whatever it takes” approach.
