    Admin Assistant - Part Time

    We are seeking a highly organized and discreet Personal/Admin Assistant to support the operations of a private family business with multiple entities across various industries. This role blends administrative, personal, and light accounting responsibilities, requiring a proactive individual who can manage diverse tasks with professionalism and confidentiality.

    Key Responsibilities

    • Manage calendars, appointments, and travel arrangements across business and personal schedules
    • Prepare meeting agendas, take minutes, and follow up on action items
    • Draft and manage correspondence, reports, and presentations
    • Liaise with accountants, attorneys, vendors, and staff across different business entities
    • Track deadlines, renewals, and compliance documents for various companies
    • Assist with document management and inter-entity communications
    • Process invoices, receipts, and reimbursements
    • Assist with expense tracking and monthly reconciliations
    • Maintain records for petty cash, credit card statements, and vendor payments
    • Support preparation of financial reports and liaise with external accountants as needed
    • Handle sensitive financial, legal, and personal information with utmost confidentiality
    • Maintain secure filing systems and digital records

    Qualifications

    • Proven experience in administrative or executive support roles
    • Prior experience in a family office or multi-entity business environment
    • Basic understanding of accounting principles and bookkeeping practices
    • Strong organizational and multitasking abilities
    • Excellent written and verbal communication skills
    • Proficiency in Microsoft Office Suite, Google Workspace, and accounting software (e.g., QuickBooks,)
    • Ability to work independently and adapt to changing priorities
    • High level of discretion and professionalism
  • Compensation
    $60,000-$75,000 per year
