    Role Overview:

    The Family-Based Immigration Administrative Assistant provides in-person administrative and logistical support to our family-based immigration team. This role works closely with attorneys, offshore paralegals, and clients to help ensure that case materials are properly collected, organized, and prepared for legal processing.

    This position plays a key role in bridging the gap between clients and our offshore team by handling physical documents, assembling application packets, and meeting with clients to collect required documentation. The ideal candidate is bilingual in English and Spanish, highly organized, and comfortable working directly with clients in a supportive, service-oriented environment.

    This role is ideal for someone who enjoys structured work, client interaction, and being a dependable point of contact within the office.

    Key Responsibilities:

    Client & Document Support

    Meet with clients in person to collect required immigration documents and supporting evidence

    Review documents for completeness and organization (not legal accuracy)

    Assist clients with signing forms, affidavits, and other required paperwork

    Answer basic process-related questions and coordinate next steps with the legal team

    Packet Preparation & Case Support

    Assemble and organize physical immigration packets for attorney and paralegal review

    Print, scan, and upload documents into the firm’s case management system

    Assist offshore paralegals by serving as the in-office point of contact for physical documents

    Administrative & Office Support

    Organize and maintain hard-copy immigration files and folders

    Handle mail duties, including certified mail and outgoing immigration filings

    Assist with scheduling document drop-offs, pick-ups, or in-office client visits

    Support attorneys and paralegals with additional administrative tasks as assigned

    Qualifications:

    MUST BE BILINGUAL IN SPANISH AND ENGLISH

    Strong attention to detail and ability to follow through on tasks from start to finish

    Comfortable handling sensitive personal documents with discretion and care

    Professional, patient, and approachable when interacting with clients in person

    Comfortable learning and using office technology (printers, scanners, case management software)

    Ability to work collaboratively with both in-office and offshore team members
