Reports to: Vice President, Operations
Position type: Part-time; hourly
Location: Raleigh North Carolina – In person
Responsible for: Issues relating to the day to day administration of the field operations
Main Purpose: To ensure that all administration, scheduling, payroll and customer inquiries are effectively and efficiently handled
Key Accountabilities
• Time sheet management / processing / data entry; ensure accurate and timely data entry of employee hours worked
• Support districts with weekly close-out
• Assist with Inventory Associate pay inquires
• Arranging replacement of Inventory Associates for field inventory events as required
• Managing district office email inboxes
• Producing “no show / late” letters for districts
• Coordination of district/operations meetings
• Taking meeting minutes as required
• Answering district phone calls
• Document filing
• Prepare lists and reports for the operations team as required
• Perform any other general duties as required by leadership
• Manage Fleet Vehicles, vehicle maintenance and fuel PINS
• Operate front desk, office phone, and emails
• Maintain equipment in equipment storage area
• Support with shipping and ordering of supplies and equipment
Key Performance Indicators
• All administrative tasks to be done to the required standard
• All deadlines to be met
Operational Responsibilities
• Processing of store paperwork according to procedures for the individual account and file paperwork
• Timesheet management / processing
• Confirm all district pre-inventory visit (PIV) schedules are completed and followed up
• Coordination of equipment inventories / repair and maintenance
• Process and control of supply orders / uniforms
• Cycle creation and event scheduling support
• Hotel rooming/booking support
Essential
• Previous administration experience
• Experience working in a busy environment
• Ability to effectively multi-task and work to tight deadlines
• The ability to work from own initiative and under fast pace environment
• Knowledge of Microsoft Office packages including Word and Excel to an intermediate level
• The ability to communicate effectively via all platforms including telephone, email and face to face
Desirable
• Experience of using a HRIS database
