Rapid Estate Liquidators & Auction Gallery is looking for an administrative assistant to join our team! Our ideal candidate has exceptional organizational skills and follow-through, can work independently, and has significant customer service experience. You will be working with the team to route incoming communications and acting as a liason between RELAAG and our customers, clients, and vendors. We are a small team, so you will be asked to help with other aspects of the business like researching items in the auction, writing listings, and assisting with pickups.
Administrative Assistant — Rapid Estate Liquidators & Auction Gallery
Primary Responsibilities
Provide day-to-day administrative support to the auction team before, during, and after sales
Answer phones and emails, respond to basic client inquiries, and route more complex questions appropriately
Assist with auction preparation including catalog organization, data entry, and document management
Enter and maintain accurate records for consignors, bidders, invoices, and payments
Coordinate paperwork related to consignments, condition reports, and post-sale follow-ups
Support invoice processing, filing, and light bookkeeping tasks as needed
Help keep the office organized and running smoothly during busy sale periods
Auction & Client Support
Assist with bidder registration and customer service during previews and auction days
Communicate clearly and professionally with consignors, buyers, shippers, and vendors
Help prepare shipping lists and coordinate basic logistics with our shipping partners
Track deadlines and follow up on outstanding paperwork or client responses
Skills & Qualifications
Strong organizational skills and attention to detail
Comfortable working with spreadsheets, email, and basic office software
Clear written and verbal communication skills
Ability to juggle multiple tasks and shifting priorities, especially around auction dates
Reliable, punctual, and able to work independently once trained
Previous administrative, office, or customer service experience preferred
Nice to Have (but Not Required)
Experience working in an auction house, gallery, estate sale, or similar environment
Familiarity with inventory systems, databases, or auction platforms
Interest in antiques, art, collectibles, or the auction industry in general
Work Environment
Fast-paced around auction cycles, quieter between sales
