    Job Summary

    We are seeking a motivated and outgoing Administrative Assistant to join our team. The Administrative Assistant will interact with donors and individuals who contact our office by phone or visiting in person, so a positive, outgoing personality is essential. The individual will also work closely with other staff members, so a team attitude is very important to a successful and effective work environment. Your responsibilities will include answering phone calls, scheduling appointments, and writing correspondence. The ideal candidate is highly organized with excellent written and verbal communication skills and a friendly demeanor.

    Responsibilities include:

    · Welcoming donors, Board Members, vendors, and contractors.

    · Assist with answering phones for the office.

    · Receives and opens all mail and packages. Date Stamp. Assures all items are routed to the correct individual.

    · Assist with mailing donor letters and other mailings.

    · Inputting and updating donor contact and details in donor database.

    · Proofreading and editing letters and other correspondence under the direction of the Executive Director.

    · Miscellaneous office duties include copying documents, preparing outgoing mail, organizing binders and folders.

    · Assist other staff members, as needed.

    · Prepare Weekly Bank Deposit and take it to bank.

    · Monitor Inventory and advise Business Admin of any items that need to be re-ordered.

    · Assist Executive Director with setup of Board and Committee Meetings.

    · Filing of Timesheets, Invoices, Daily Reports, Reimbursements.

    · Printing checks for Executive Director’s signature.

    Required Skills:

    · Familiarity with nonprofit business is preferred

    · Self-starter with strong organizational skills, the ability to be flexible and the willingness to change priorities as required by changes in circumstances.

    · Ability to handle sensitive and confidential assignments and paperwork with tact and diplomacy.

    · Strong interpersonal communications skills.

    · Strong problem-solving skills

    · Attention to detail

    · All employees are expected to assist in cross-department duties as needed.

    Non Profit Experience preferred, but not required.

    Computer Skills

    · Microsoft Office Suite – including Excel and Word

    · Databases – Preferably Donor Perfect

    · Quickbooks

    Education and Experience:

    · Minimum of 1-2 years of previous experience as an assistant working in a professional office environment.

    Schedule:

    · Monday-Friday, 9am-2pm

    Physical Requirements:

    · Prolonged periods sitting at a desk and working on a computer

    · Must be able to lift to 25 pounds at times

    Compensation and Benefits:

    · Compensation will range from $23.00-$25.00 an hour depending on experience, skills and qualifications.
