Responsibilities: • Greet visitors, clients, and fellow employees when they arrive at the front desk and provide them with any necessary directions or information • Answer phone calls and emails, and communicate relevant information to the appropriate parties • Schedule appointments and ensure the business calendar is accurate and up-to-date • Manage incoming and outgoing mail and handle deliveries • Processes new client information and prepares files • Maintain physical and e-file system • Run occasional errands (e.g., Post Office, Bank, Office Supplies) • Proofread documents for formatting and typographical errors (Microsoft Office and Adobe Acrobat Pro experience required) • Organize, copy, tab, scan, print, and collate physical documents • Manage the breakroom, including preparing coffee for the team and clients, re-stocking necessities, keeping the kitchen tidy, shredding, and ensuring trash is taken out on the appropriate pickup day • Working with the team to ensure the best possible results and client experience • Provide administrative support to other team members with data entry, paperwork, photocopying, etc Qualifications: • Associate's degree or higher • 3 years of experience as a receptionist, administrative assistant, guest service specialist, or similar office or service position preferred • Comfortable taking telephone calls and mitigating stressful situations • Excellent interpersonal skills, organizational skills, customer service skills, and verbal communication skills • Proficient computer skills and knowledge of Microsoft Office Suite, Adobe Acrobat Pro, and CRMs • Valid driver’s license, reliable vehicle, and safe driving record • Must be able to go up and down stairs, and lift 50-pound boxes Compensation: $20 - $25 hourly
