    Job Summary The Administrative Assistant/Receptionist provides essential front-line support by delivering professional, courteous communication to team members, clients, visitors and vendors. Serves as a central point of contact to ensure a positive and efficient experience for all internal and external stakeholders. Assists with a wide range of administrative functions, including answering phone calls, maintaining filing systems, preparing documents, coordinating schedules, supporting office operations and facilitating onboarding activities. Additional responsibilities include assisting with policy and procedure documentation, coordinating service requests, supporting event logistics and liaising with garage owners as needed. Represents M1 Concourse with the highest level of professionalism and decorum.

    Job Responsibilities

    Answers, screens and routes incoming phone calls.

    Assists in the onboarding of new employees (preparing workstations, distributing materials…).

    Assists with company travel arrangements and itineraries.

    Communicates and serves as a point of reference with employees, clients and visitors.

    Communicates professionally via phone, email and in person.

    Coordinates office maintenance and service requests.

    Facilitates the maintenance of electronic and physical filing systems.

    Facilitates the processing of incoming mail, packages and deliveries.

    Greets visitors and clients in a friendly and professional manner.

    Facilitates the processing of incoming mail, packages and deliveries.

    Maintains a clean and orderly reception area and lobby.

    Maintains positive, professional relationships with clients, vendors, and employees.

    Monitors office inventory levels and reorder supplies as needed.

    Monitors visitor access of the company’s administrative office.

    Orders and maintains office supplies and equipment.

    Organizes and maintains office records and documentation.

    Performs data entry as required.

    Prepares, formats and edits documents, reports and correspondence.

    Provides general information and respond to inquiries.

    Resolves basic issues and routes complex questions to appropriate personnel.

    Schedules appointments and meetings as required.

    Supports event planning and meeting logistics.

    All other duties as may be required and assigned.
