JOB DESCRIPTION
Job Title: Administrative Assistant / Receptionist
SUMMARY
Administrative Assistant/Receptionist is responsible to perform a variety of administrative and clerical tasks. The Administrative Assistant/Receptionist will provide support to the interdisciplinary team, management, Human Resources, Finance and employees, assisting in daily office needs and managing Lehigh Valley Adult Services general administrative activities to ensure efficient and smooth operation of the office.
ESSENTIAL DUTIES AND RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO:
● Manage the front office of the facility and maintain professionalism
● Excellent Microsoft Office and computer skills
● Schedule appointments in Clinical Services as needed
● File records, perform transcription, transfer records, and work collaboratively in completing these responsibilities
● Record meeting minute
● Perform administrative duties including but not limited to answering phones, mailing, filing, copying, faxing, and typing
● Maintain office equipment including corresponding with the Interdisciplinary team when maintenance is required.
● Maintain the appearance, cleanliness, and organization of the front office
● Organize, maintain, and update internal databases with personnel records of relevant employee information
● Maintain physical and digital files for employees and their documents, benefits, and attendance records
● Assist with highly confidential information
● Answering phones
● Perform other related duties as assigned such as providing direct support to consumers as needed
● Direct and schedule interviews
● Other duties as assigned
QUALIFICATIONS
● Effective communication skills both oral and written
● Working with individuals with IDD is a plus
● Excellent Customer Service Skills
● Proficient in Microsoft Office
● Successful completion of FBI fingerprints (as required), PA Criminal Background Check, Child Abuse Clearance, Drug Screening, and a complete Physical
● Ability to problem-solve
● Ability to Multitask
EDUCATION and/or EXPERIENCE
● High School diploma or GED equivalent; Associate’s preferred
● Two (2) + years’ experience in administrative position
HOURS OF WORK
Full Time
LANGUAGE SKILLS
Ability to read and interpret documents such as procedure manuals and work instructions. Ability to write routine reports and correspondence. Ability to speak and communicate well with customers and staff.
