    Position Summary:

    Riva Mental Health is seeking a compassionate and organized Administrative Assistant to support our mental health providers and ensure the smooth day-to-day operations of our clinic. The role is currently part time (20 to 30 hours per week) and expected to become full time over the next 3 to 6 months. This individual will play a critical role in coordinating care, supporting clinical staff, and providing administrative services that directly impact the quality of client care.

    The ideal candidate is detail-oriented and thrives in a client-focused environment.

    Key Responsibilities:

    Serve as the primary administrative support for the Business Manager

    Answer inbound phone calls, make outbound calls, and respond to inquiries for potential clients seeking therapy

    Schedule and manage intake appointments

    Assist with marketing outreach and events

    Coordinate client communication and follow-ups

    Greet clients, check them in, and assist with intake paperwork

    Assist with billing processes, invoicing, and payment collection

    Support the planning and coordination of clinical team meetings and trainings

    Assist in compliance with HIPAA and clinic policies regarding confidentiality and documentation

    Required Qualifications:

    High school diploma or equivalent required; associate degree or coursework in healthcare administration or psychology preferred

    Strong interpersonal and communication skills

    Proficiency in Microsoft Office or Google Suite

    High level of discretion, empathy, and professionalism

    Ability to manage multiple priorities in a fast-paced, client-facing environment

    Work Environment:

    Primarily on-site at Riva Mental Health in Redwood City, CA

    Standard business hours

    Comfortable working in a confidential, emotionally sensitive clinical setting

    Compensation and Benefits:

    Salary range: [$25 to $30 hourly] based on experience
