    The Administrative Assistant role on our team is different from a typical administrative position. While strong organizational and communication skills are essential, this role requires someone who thrives in a fast-paced environment where priorities can shift quickly and multitasking is a daily expectation.

    We're looking for a self-starter who can take their foundational training and confidently work through challenges by researching solutions and thinking independently. Rather than waiting for direction, the right person is proactive, resourceful, and willing to take ownership of their responsibilities.

    This position provides critical support to both our Job File Coordinators and Project Managers. Responsibilities include ensuring job files contain all required documentation, such as adjuster information, claim numbers, and other key details. The role also involves scheduling inspections, taking First Notice of Loss calls, performing a variety of data entry tasks, and assisting with numerous day-to-day administrative functions that keep projects moving forward.

    This position is truly the backbone of our team. A strong Administrative Assistant helps ensure our operations run smoothly by keeping multiple tasks moving simultaneously, knowing how to prioritize competing demands, and following through to completion. Success in this role requires excellent attention to detail, strong time management skills, adaptability, and the ability to juggle several responsibilities without losing focus on quality or customer service.

    Key Responsibilities

    Perform fundamental daily administrative tasks to assist the office team

    Coordinate crew and job scheduling

    Perform detailed and accurate data entry

    Assist other departments, as needed

    Position Requirements

    High school diploma/GED (preferred)

    Must be knowledgeable in Microsoft Office

    Attention to detail and problem-solving skills

    Excellent written and verbal communication skills

    Strong organizational skills with the ability to multi-task

    Skills/Physical Demands/Competencies

    This is a role in a fast-paced office environment. Some filing is required which would require the ability to lift files, open filing cabinets, and bending or standing as necessary. Ability to successfully complete a background check subject to applicable law
