The Administrative Assistant plays a pivotal role in facilitating efficient office operations and ensuring seamless communication with customers, stakeholders, and team members. This position involves diverse responsibilities, ranging from scheduling and customer service to financial administration, compliance documentation, and HR support.
Primary Responsibilities
Provide exceptional customer service by addressing inquiries, resolving issues, and maintaining a friendly and professional demeanor when interacting with customers.
Anwer phones and provide customer service: Respond to customers in a courteous and professional manner at all times.
Answer questions utilizing the intake forms, provide information and as required, direct calls to the appropriate person for assistance and track all calls.
Manage outgoing and incoming mail and emails: Ensure all correspondence is handled timely and accurately, resulting in correspondence being received by customers, COI’s and franchise team members.
Greet guests and manage visitor sign in sheet.
Manage incoming deliveries from Fedex and UPS, etc and delivery of packages to the appropriate people.
Maintain proper on-hand delivery of office and general supplies: Ensure needed supplies are on-hand, resulting in productive employees.
Collaborate with teams to coordinate the production schedule and on-call schedule, ensuring efficient resource allocation and timely job completion
Perform detailed and accurate data entry
Receive incoming calls about past services, follow ups on current projects, general inquiries about business and other routine communications
Maintaining copies on hand: applications, background check forms, etc.
Collaborate and assist with other departments, as needed
Perform other job-related duties as assigned.
Position Requirements
2+ year(s) of administrative or office-related experience
Experience in service industry environment a plus
Outstanding written and verbal communication skills, including proper pronunciation and grammar, and a consistently courteous and professional tone of voice at all times
Possess polite, confident, and excellent customer service skills, including listening and questioning skills
Ability to remain calm and professional during tense or stressful situations
Excellent organizational skills and strong attention to detail
Very self-motivated and goal-oriented
Ability to multi-task
Capability to work in a fast-paced, team-oriented office environment
Proficient in Microsoft Office (i.e., Outlook, Word, Excel)
Minimum of HSD/GED preferred
Able to successfully complete a background check subject to applicable law
