Job Summary
We are seeking a motivated and outgoing Administrative Assistant to join our team. In this role, you will provide support to our employees in the field cleaning, ensuring they have all the information and resources they need to perform their best and that the job matches its description. Your responsibilities will include answering phone calls, booking appointments, scheduling employees, creating and giving quotes, sending information to the corresponding member to create the invoices, planning meetings, and writing correspondence. The ideal candidate is highly organized with excellent written and verbal communication skills and a friendly demeanor.
Responsibilities
Answer incoming phone calls and giving accurate Quotes based on company prices and measures
Schedule appointments and maintain a calendar for employees and clients
Organize meetings and take accurate minutes
Write emails, Quotes, written invoices, memos, and letters and distribute them appropriately (mostly invoices and quotes)
Contribute to company reports
Maintain an organized filing system
Develop, update, and maintain relevant office procedures
Qualifications
High school diploma/GED required, Associate’s degree or administrative training is preferred
Previous experience as an Administrative Assistant or in a similar position
Familiarity with standard office equipment such as printers and fax machines and a laptop or computer
Excellent computer skills and knowledge of Microsoft Word, Outlook, and PowerPoint
Highly organized with excellent time management skills and the ability to prioritize projects
Must own a laptop and or a desktop computer
