    Position Overview: We are seeking an organized and customer-focused Administrative Assistant to manage essential administrative tasks and serve as the welcoming face of our company. The ideal candidate thrives in a fast-paced environment, demonstrates excellent communication skills, and ensures seamless office operations.

    Key Responsibilities:

    Phone Management: Handle incoming and outgoing phone calls for multiple service verticals.

    Appointment Scheduling: Coordinate appointments for landscaping, plumbing services, and other projects.

    Record Management: Create contacts and opportunities for multiple service verticals, enter detailed notes, and maintain accurate records.

    Estimate and Invoice Preparation:

    Draft and send estimates.

    Create and issue invoices.

    Payments: Post payments promptly and accurately.

    Follow-Ups:

    Resend unviewed estimates daily.

    Contact clients to confirm receipt of estimates.

    Customer Interaction: Greet customers warmly and professionally.

    Metrics & Reporting: Track daily metrics and cash flow to ensure smooth office operations.

    Qualifications:

    Previous experience in administrative role preferred.

    Proficient in Google Workspace.

    Strong organizational skills and attention to detail.

    Excellent verbal and written communication abilities.

    Positive attitude and ability to multitask in a busy environment.
