    Job Summary

    We are seeking a motivated, organized, and outgoing Administrative Assistant to join our team in our San Diego corporate office. In this role, you will provide critical operational support to our office and CEO, ensuring leadership and the broader team have the information, credentials, and resources required to perform at their highest level. Your responsibilities will span executive calendar management, client correspondence, front-line phone and email routing, and managing the end-to-end employee onboarding and technical credentialing process.

You should possess excellent written and verbal communication skills, maintain a friendly and professional demeanor, and be capable of balancing multiple shifting priorities in a fast-paced corporate environment.

    Responsibilities

    Serve as the primary point of contact for incoming inquiries, efficiently routing phone calls and providing high-touch customer service support to clients.

    Manage daily office operations, including the oversight of inbound physical mail and digital document imaging/archiving system

    Provide high-level executive support to the CEO, including comprehensive calendar management, meeting organization, and conference call coordination.

    Draft, edit, and distribute professional internal and external communications, including emails, memos, corporate letters, and contributions to company reports.

    Manage daily office operations, including the oversight of inbound physical mail and digital document imaging/archiving systems.

    Facilitate the new hire onboarding process, ensuring a seamless transition for incoming team members.

    Act as the primary internal help desk resource for new team members, troubleshooting initial connectivity, software navigation, and hardware setup challenges.

    Maintain accurate user rosters across all platforms, ensuring system licensing and access credentials align with active company headcount and compliance requirements.

    Qualifications

    High school diploma/GED required, Associate’s degree or administrative training is preferred

    Previous experience as an Administrative Assistant or in a similar position

    Familiarity with standard office equipment such as printers and fax machines

    Excellent computer skills and knowledge of Microsoft Word, Outlook, and PowerPoint

    Highly organized with excellent time management skills and the ability to prioritize projects
