We are seeking a highly organized, professional, and dependable Administrative Assistant / Secretary to provide clerical and administrative support in a medical office environment. The ideal candidate must possess excellent communication, organizational, and multitasking skills, with the ability to manage a high volume of administrative tasks efficiently. Medical experience is not required.
Key Responsibilities:
Answer and manage a high volume of incoming phone calls with professionalism, courtesy, and proper business etiquette
Handle a large volume of incoming and outgoing emails in a timely, organized, and professional manner
Draft, proofread, and respond to professional email correspondence with strong written communication skills
Schedule appointments, meetings, and calendar events efficiently
Maintain organized filing systems, both electronic and physical
Perform accurate data entry and recordkeeping
Prepare letters, reports, spreadsheets, and office documents
Scan, copy, file, and manage general clerical tasks
Coordinate with internal staff regarding scheduling, follow-ups, and administrative matters
Maintain confidentiality and professionalism at all times
Perform additional administrative duties as needed in support of office operations
Required Qualifications:
Prior administrative, clerical, receptionist, or office support experience required
Proficiency in Microsoft Excel and Microsoft 365 (Outlook, Word, Excel, Teams)
Strong written communication skills with the ability to draft professional emails independently are
Ability to handle a large volume of email correspondence and incoming phone calls
Excellent telephone communication skills with a professional, courteous, and polished demeanor
Strong customer service skills and professional office etiquette
Exceptional organizational skills with strong attention to detail
Ability to multitask, prioritize, and work efficiently
Strong computer literacy and ability to quickly learn office software systems
Reliable, punctual, and able to work both independently and as part of a team
