We are seeking a dependable and detail-oriented Administrative Assistant to support the daily operations of our senior living community. This role combines elements of office management, executive assistance, resident coordination, and basic financial tasks. The ideal candidate is highly organized, personable, and enjoys working in a service-focused, mission-driven environment. Responsibilities: Administrative Support • Assist with executive project management (track to-do lists, set up reminders and task lists) • Prepare and mail thank-you notes following tours and inquiries • Send birthday cards to residents and waitlist contacts • Organize, scan, and file paperwork, both digital and physical • Order brochures, business cards, and stuff information packets • Maintain and update phone system auto-attendants and email accounts Resident Move-In Coordination • Schedule and confirm tours for prospective residents • Stuff and organize lease folders • Manage post-lease paperwork (utilities setup, emergency contacts, etc.) • Communicate with residents leading up to their move-in • Coordinate move-in dates with business office and maintenance team • Manage mailbox keys and resident keys for new move-ins Office Operations • Track and reorder office supplies and printed materials • Submit and track work orders as needed • Support special projects and community events • Maintain a clean and organized office and reception area Financial & Vendor Support • Assist with accounts payable and invoice tracking • File vendor paperwork and insurance documentation • Communicate with vendors for service requests, deliveries, and general coordination Qualifications: • 2+ years of experience in office or administrative support • Highly organized with strong attention to detail • Proficient in word processing, Microsoft or Apple • Comfortable communicating with both residents and vendors • Self-motivated and able to manage multiple priorities Compensation: $18 - $20 hourly
