    The Goddard School® located in South Chandler, AZ is looking for a motivated, detail-oriented, self-starter for an Administrative Assistant position at our School. The Administrative Assistant will assist in supporting the daily operations of the school, ensuring the highest standards of education and care. This role involves supporting the Owner & Director(s) in administrative duties, maintaining compliance with licensing and quality assurance requirements and fostering positive relationships with parents and the community.

    Administrative Assistant Key Responsibilities:

    Administrative Support:

    Answer the phone and speak professionally to families and prospective families

    Have knowledge in the school program and enrollment process to be able to educate prospective families that call/stop in and schedule tours whenever possible

    Handle administrative tasks such as scheduling, record-keeping, filing, and reporting

    Ensure files maintain compliance with state childcare licensing regulations and The Goddard School’s standards.

    Manages inventory & completes school orders for needed food and supplies

    Tracks and completes weekly lunch orders to ensure accurate ordering and eliminating waste/saving expense

    Creates monthly snack menus and reviews with owner alongside the monthly lunch menu to ensure variety, safety, and nutritional balance

    Enters monthly menus into our Parent Communication App and makes changes as needed

    Opens and closes efficiently and effectively and to The Goddard School and Growth Togethers’ standards

    Responsible for data entry into our Family Management System (child files, staff files, training, etc.)

    Supports on the onboarding of new staff by creating onboarding binders, ensuring all needed paperwork is completed, running background checks and the bio wall, teacher boards, website, and FMS areup to date with new staff

    Updates punches daily in ADP to ensure accurate time and attendance and payroll

    Family and Community Engagement:

    Engages with staff and families; builds strong rapport & professional relationships

    Attends and promotes School & Community Events and is flexible with their schedule and tasks to support the school as needed

    Creates a monthly social media plan (Facebook and Instagram posts and stories, TikTok) to showcase the learning and fun that take place in the school. Ensures posts happen each day that they are planned and that they illustrate the brand, quality, and personality of the school.

    Updates and maintains the school website and google page

    Health and Safety:

    Ensure a safe and healthy environment for children, staff, and visitors

    Tracks & assists in conducting regular safety drills and ensures emergency preparedness

    Assists in ensuring maintenance, cleanliness and care of the facility and school equipment

    Responsible for the quality execution and maintenance of all Health & Safety forms and logs including but not limited to; Incident and Observation Reports, Child Illness Log, Staff Illness Log, Incident Report Log, etc.

    Qualifications:

    Associates of Arts or Science Degree in Early Childhood Education, Child Development, Education, or a related field

    Excellent communication and interpersonal skills.

    Organized and ability to multitask, resolves challenges, and has a great attitude

    Demonstrate highly effective organizational, time management, and multitasking skills

    Have a genuine love for children

    Be open to feedback and have a strong desire and initiative to learn and grow.
