    We are seeking a detail-oriented, dependable Administrative Professional to join our team in St. Louis, MO. This individual will play a vital role in keeping our offices organized, efficient, and client-focused. The ideal candidate is professional, organized, tech-savvy, and eager to learn in a dynamic accounting and tax environment. You’ll support day-to-day operations across departments, assist with client communication, document management, and ensure the smooth running of office processes during both tax and off-seasons. Responsibilities: As an Administrative Professional , you will: • Greet clients warmly and maintain a welcoming, professional office environment. • Manage incoming phone calls, emails, and client inquiries with accuracy and care. • Schedule client appointments, manage calendars, and confirm meeting details for preparers and advisors. • Assist with document processing — scanning, uploading, and organizing tax and accounting files securely in our systems. • Support electronic signature and filing workflows using DocuSign and IRS e-file systems. • Maintain accurate client records and ensure confidentiality of sensitive information. • Prepare client correspondence, engagement letters, and billing statements as directed. • Track deliverables (returns, signatures, payments) and provide updates to preparers or other operations team. • Support supply management, mail handling, and light office maintenance coordination. • Assist with team events, communications, and onboarding of seasonal staff. • Collaborate with bookkeepers, preparers, and management to ensure client satisfaction and timely service. Qualifications: Required Qualifications5+ years of professional administrative or customer service experience (preferably in a financial, accounting, or office environment). • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams) and comfortable learning new software. • Strong attention to detail, organization, and follow-through. • Excellent written and verbal communication skills. • Ability to multitask and prioritize in a fast-paced, deadline-driven environment. • Professional, courteous, and discreet when handling confidential information. • Legally authorized to work in the United States. Preferred Qualifications • Experience in a CPA, accounting, or financial services office is highly desirable. • Familiarity with ProSeries, Canopy, QuickBooks, or DocuSign preferred. • Previous experience coordinating client scheduling or document flow in a professional office. • Basic understanding of billing, invoicing, or office bookkeeping is a plus. Compensation: $50,000 - $60,000
