We are a busy, fast-paced law firm on a growth trajectory, looking for a new receptionist/intake team member. The Receptionist’s primary function is to meet and greet former, current, and potential new clients and other callers/guests/visitors on the telephone and in person when they visit our office, and conduct intake interviews with new clients. The Receptionist may also assist the rest of the team by performing other general office tasks as needed. The Receptionist is a Non-Exempt position. Responsibilities: • Answers Incoming Calls • Directs incoming calls • Screens calls • Takes messages • Answers basic questions about the firm • Greets visitors • Creates a positive and professional first impression • Makes visitors comfortable • Conducts intake interviews for potential new clients contacting the firm for services. Follow-ups with outgoing phone calls to potential new clients. • Keeps the lobby and reception area neat and clean • Receives and scans mail, deliveries, and packages, and routes them to the proper person • Interacts with clients and other parties and builds relationships with them by phone, email, and in person • Maintain and update Intake PSP, case management system (Clio), relationship management systems (Lawmatics/Go High Level), document management systems (Dropbox and fireproof safe,) and other mission-critical systems • Maintain calendars: schedule appointments, post tasks and deadlines, and ensure the Firm and team’s calendars are accurately maintained and organized in a logical and efficient manner • Retrieves and delivers emails and voicemails, and ensures that copies of messages are documented in the Firm’s files (paper, electronic, or both) • Assists other staff and performs general office tasks as requested Qualifications: The Receptionist should have a high school diploma or a bachelor's degree. The Receptionist should have prior office experience, experience with business phone systems and office computer systems, and software, ideally at a law firm. The Receptionist should be an effective communicator, feel comfortable talking with many different people, and initiate communication. The Receptionist should be able to manage and prioritize a variety of tasks while maintaining organization in a fast-paced environment. Compensation: $47,000
