The Administrative Assistant provides essential support to the operations team and management. This role involves handling clerical and organizational tasks, assisting with scheduling, data entry, customer service, and supporting freight tracking and documentation processes.
Answer and direct incoming calls and emails in a professional manner
Schedule pickups, deliveries, and meetings; coordinate calendars for management and drivers
Prepare and maintain freight documents including BOLs, invoices, and delivery confirmations
Perform data entry and maintain accurate records in company systems
Assist with billing, invoicing, and accounts payable/receivable as needed
Maintain organized filing systems (physical and digital)
Communicate with customers, vendors, and drivers to support timely deliveries and resolve issues
Order office supplies and maintain an organized workspace
Perform other administrative tasks as assigned to support operations
High school diploma or equivalent required; associate degree preferred
1+ years of administrative or office experience (experience in logistics or transportation is a plus)
Proficient with Microsoft Office Suite (Word, Excel, Outlook) and basic computer systems
Excellent verbal and written communication skills
Strong organizational and multitasking abilities
Ability to work independently and as part of a small team
Dependable, detail-oriented, and customer-focused
Office setting within a warehouse or logistics environment
Tuesday through Saturday, 8:00 AM – 5:00 PM (hours may vary)
Occasional lifting of office supplies or freight paperwork (up to 25 lbs)
