    About the Administrative Assistant Position

    We are seeking a reliable, proactive, and highly organized Administrative Assistant to support the smooth and efficient operation of our office. In this vital role, you'll handle a wide range of administrative and clerical tasks, including supporting management and team members, coordinating travel and meetings, preparing reports, and maintaining well-organized filing systems.

    The ideal candidate will possess excellent written and verbal communication skills, demonstrate the ability to prioritize tasks in a fast-paced environment, and be proficient with office tools such as MS Excel and general office equipment. Prior experience in a similar role — particularly as a Secretary or Executive Administrative Assistant — and familiarity with our industry are highly valued.

    Key Responsibilities

    • Coordinate and schedule appointments, meetings, and travel arrangements

    • Handle incoming calls, emails, memos, letters, and other communications

    • Prepare and edit reports, presentations, and meeting agendas

    • Take detailed meeting minutes and distribute accordingly

    • Maintain organized contact databases and filing systems

    • Welcome and assist office visitors and clients professionally

    • Act as a liaison between clients, staff, and management

    • Review and maintain office policies, procedures, and compliance documents

    • Track and manage office supplies, sourcing new vendors as needed

    • Prepare and submit expense reports and invoices

    • Work closely with senior and executive assistants to support upper management

    Required Qualifications

    • Minimum of 3 years' experience in an Administrative Assistant, Executive Assistant, or Virtual Assistant role

    • Strong knowledge of office management systems, procedures, and equipment (e.g., printers, fax machines)

    • Proficiency in MS Office, particularly Excel, PowerPoint, and Outlook

    • Exceptional time management, problem-solving, and organizational skills

    • Excellent written and verbal communication with strong attention to detail

    • Ability to handle multiple tasks and prioritize effectively

    • High school diploma required; associate's or bachelor's degree or relevant certification is a plus
