    Job Summary: The Administrative Assistant will play a crucial role in ensuring the smooth and efficient operation of We Rise Up, LLC by providing comprehensive administrative support in a fast-paced behavioral health setting. This position will be responsible for office management, scheduling, clerical tasks, client coordination, and compliance tracking, helping the organization maintain high-quality, client-centered services.

    The Administrative Assistant will collaborate with interdisciplinary teams, assist with Medicaid billing, maintain financial and compliance records, and ensure that all documentation aligns with state and federal regulations. This role requires strong organizational skills, adaptability, and the ability to multitask under pressure while upholding confidentiality and professionalism.

    This position will be fully in-office and report to the Operations Officer and Finance & Compliance Officer. The Administrative Assistant will start as a part-time role (9 AM - 2 PM) and transition to full-time (9 AM - 5 PM) as the company expands.

    The ideal candidate will have experience in behavioral health, familiarity with Medicaid or healthcare administration, and proficiency in Google Workspace and Microsoft Office. Over time, this role will require the use of an EHR and Medicaid Billing Systems to support company operations.

    Responsibilities: The Administrative Assistant reports to the Operations Officer and Finance & Compliance Officer, providing daily updates and addressing task prioritization and issue resolution. This role involves answering and directing phone calls, greeting visitors, and maintaining an organized and professional office environment. Managing electronic and physical filing systems ensures efficient document retrieval and confidentiality. The assistant schedules meetings, coordinates travel, prepares agendas, and records meeting minutes while maintaining office supplies and overseeing office equipment maintenance.

    Managing daily administrative tasks such as appointment scheduling, document organization, and client coordination. Acting as a liaison between vendors and clients to ensure effective communication and service coordination. Facilitating team meetings, company events, and office logistics while monitoring inventory and performing essential errands.

    Assisting with Medicaid billing, insurance claims, and compliance processes to ensure accuracy and adherence to regulations. Tracking insurance authorizations, maintaining financial records, and ensuring compliance with state and federal standards.

    Operating effectively in a fast-paced environment by managing multiple priorities, maintaining confidentiality, and adapting to last-minute changes. Staying informed of industry best practices and engaging in professional development.

    Requirements: Proven experience as an Administrative Assistant, Office Coordinator, or similar role. Proficiency in Google Workspace (Docs, Sheets, Drive, Gmail) and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Excellent organizational and time-management skills, with the ability to multitask. Strong communication and interpersonal abilities, both written and verbal. Ability to work independently while also being a team player. Basic understanding of clerical procedures, including recordkeeping and filing. Reliable transportation and a valid driver’s license (for errands and work-related travel). Experience in Medicaid-based services and behavioral health settings is preferred. Excellent communication, interpersonal, and documentation skills.

    Education: High school diploma required; Associate’s degree preferred. Two years of experience in an administrative role. Experience in behavioral health, Medicaid, or healthcare administration preferred.

    Preferred Qualifications: Experience working with Medicaid clients and in behavioral health settings.

    Physical Demands: Primarily sedentary, involving sitting, standing, walking, and occasional carrying of light items.
