  • Responsibilities

    We're looking for a reliable, detail-oriented Part-Time Administrative Assistant to support our finance and operations teams with a variety of recurring tasks. This role is ideal for someone who enjoys structured work, is confident working independently, and can consistently execute routine processes across multiple platforms.

    This is a remote, part-time role (approximately 15–20 hours per week ), but the ideal candidate will be located within driving distance of Boca Raton, FL. While most work is done online, there may be occasional in-person meetups or tasks such as checking a company mailbox.

    Key Skills & Strengths:

    Highly Organized & Detail-Oriented

    • Enjoys working through checklists and following repeatable workflows

    • Stays on top of recurring tasks like reconciling payments, entering invoices, and checking inboxes

    • Keeps information up-to-date across systems with accuracy and care

    Comfortable with Financial Admin

    • Experience with basic financial tools like QuickBooks or other accounting platforms

    • Can apply payments, enter invoices, track reimbursements, and follow up on vendor paperwork

    • Understands how to match payments across systems and flag discrepancies

    Clear Communicator

    • Comfortable sending concise emails to vendors, clients, and internal team members

    • Knows how to respond professionally to payment inquiries or vendor requests

    • Can route more complex questions to the appropriate internal contacts

    Trustworthy with Systems & Access

    • Familiar with tools like Google Workspace and Slack

    • Can help maintain account access during employee onboarding/offboarding

    • Understands the importance of handling sensitive data with discretion

    Process-Driven & Consistent

    • Dependable when it comes to recurring weekly/monthly tasks

    • Takes initiative to complete to-dos without hand-holding

    • Comfortable using task lists, reminders, and internal documentation to stay on track

    Tools You'll Use:

    • QuickBooks Online

    • Salesforce

    • Google Workspace (Drive, Gmail, Sheets)

    • Slack, LastPass

    Work Hours & Structure:

    • ~15–20 hours per week

    • Flexible but set schedule, but must be available during standard business hours

    • Remote work with occasional in-person responsibilities in the Boca Raton, FL area
