Position Overview
The Administrative Assistant provides excellent support and collaborative service as a response to God's saving grace, assisting Westend Church to grow in faith and knowledge, and to reach people with the gospel of Jesus Christ.

The Administrative Assistant is a vital position that serves as the welcoming face and organizational anchor of our church office.
The Administrative Assistant provides essential support across three key areas: communications, hospitality, and general administration. This position is the first point of contact for the church, ensuring smooth daily operations and effective communication with members and the surrounding community.
Essential Roles and Responsibilities
Hospitality and First Impressions
- Serves as the first point of contact, providing an excellent first impression and warm welcome for any person walking in or calling the office.
- Creates a welcoming and hospital environment for every person engaging with the church, including maintaining an organized, professional, and tidy office complex.
- Manage incoming communications (phone calls, email, mail), screening and directing messages to the appropriate staff, ministry leader, or council member with sensitivity and discretion.
- Maintains the people database with accurate information, notes, and updates.
Communications and Marketing
- Develop and distribute weekly communications, including the Sunday bulletin, prayer requests, and e-newsletters, ensuring accuracy and timeliness.
- Manage the church's digital presence, including maintaining and updating the church website (westendcrc.org) and social media channels (e.g., Facebook, Instagram) with relevant content designed to engage the church's online audience.
- Design and produce promotional materials (flyers, posters, graphics) for church programs and outreach events.
- Coordinate external communication, such as managing bulk mailings and sending out seasonal correspondence.
Clerical and Ministry Support
- Works with the Administrative Director to ensure the efficient operation of ministry throughout the week.
- Manage office supplies, equipment, and inventories.
- In collaboration with the Administrative Director, provides clerical support for personnel and ministry leaders, including printing, research, drafting and editing meeting reports, communication with stakeholders, and preparation of other documents as needed.
- Ensures that deadlines are met and adapts to changing priorities.
Qualifications, Character, and Skills
- Strong faith in Jesus Christ and alignment with Christian Reformed doctrines.
- Bachelor's degree in Ministry, Communications, Business, a related field, or equivalent relevant experience (preferred).
- Experience in church ministry or office administration.
- Strong verbal and written communication skills with meticulous attention to detail and proofreading.
- Experience with website content management systems (CMS) and email marketing platforms.
- Experience in graphic design or desktop publishing (e.g., Canva, Adobe Creative Cloud) for communications.
