Administrative Assistant facilitates the efficient operation of the Youth Screening Program by performing a variety of clerical and administrative tasks related to organization and communication. Supports managers and employees through a variety of tasks related to organization and communication. Familiar with a variety of the field's concepts, practices, and procedures.
We are looking for an Administrative Assistant who must have:
- High School Diploma or G.E.D
- Two years’ experience in a general clerical office setting
- Must have valid driver’s license, ability to use personal vehicle for work purposes, and appropriate vehicle insurance.
Job Duties and Responsibilities:
- Produces and distribute correspondence memos, letters, faxes, and forms
- Assists in the preparation of regularly scheduled reports
- Orders office supplies
- Serves as office contact for all equipment, including fax/copy machine. Report meter readings to equipment contractor and Finance Department/Accounts Payable as requested.
- Prepares new case files when received, including labels
- Files closed case files alphabetically in specified areas, file cabinets and labeled storage boxes monthly/annually.
- Maintains supplies of forms and BAYS group and class staff and clients.
- Responsible for confidential and time sensitive material
- Maintains and update office schedule and calendar of classes, meeting and events when assigned, utilizing Outlook calendars, email reminders
- Performs all other related duties as assigned.
Job Essentials:
- Answers and transfers phone calls when necessary
- Maintains confidential databases and records to assist in monthly reporting and invoicing.
- Responds to and resolves administrative inquiries and questions
- Serves as the on-site Safety Representative
- Assists with training scheduling and compliance.
