    Position Overview: We are seeking a reliable and detail-oriented Office Assistant to support daily operations in a busy outpatient mental health clinic. This role is essential in ensuring a welcoming, organized, and efficient environment for both patients and clinical staff. The ideal candidate is professional, compassionate, and able to handle sensitive information with discretion.

    Key Responsibilities:

    Greet and check in clients in a warm and professional manner

    Answer phones, schedule appointments, and manage calendars for clinicians

    Verify insurance information and assist with basic billing tasks

    Maintain accurate client records and ensure confidentiality (HIPAA compliance)

    Process intake paperwork and coordinate client flow

    Handle general administrative duties (filing, faxing, emailing, data entry)

    Assist clinicians and office manager with day-to-day operational needs

    Coordinate and manage Zoom appointments, including sending links, troubleshooting basic technical issues, and ensuring sessions start on time

    Qualifications:

    High school diploma or equivalent (Associate’s or higher preferred)

    Previous experience in a medical, mental health, or administrative setting preferred

    Strong communication and interpersonal skills

    Proficiency with computers and scheduling software (EHR systems a plus)

    Ability to multitask and stay organized in a fast-paced environment

    Comfortable working with diverse populations

    Knowledge of confidentiality standards and professional boundaries

    Qualifications

    High school diploma/GED required, Associate’s degree or administrative training is preferred

    Previous experience as an Administrative Assistant or in a similar position

    Familiarity with standard office equipment such as printers and fax machines

    Excellent computer skills and knowledge of Microsoft Word, Outlook, and PowerPoint

    Highly organized with excellent time management skills and the ability to prioritize projects

    Experience with insurance verification
