
RATE / RANGE: $40,400 - $42,420 Annually
SUMMARY
The Administrative Assistant coordinates project activities, information, reporting, and complex administrative matters for Workforce Development and Community Education. The incumbent is directly responsible to the Vice President and also receives assignments and work projects from the Directors of Workforce Development and Community Education. Duties are performed in a fast‐paced work environment. This is a full-time, professional position with some evening and weekend hours as required.
QUALIFICATIONS
- 1. Associate's degree in business administration or a related field, and/or equivalency of knowledge and experience is preferred.
- 2. Minimum of three years' progressive related experience, in an administrative office and/or in workforce development, which required handling complex duties and data.

- 1. Strong written and oral communication skills and the ability to use these skills for effective interactions.
- 2. Organization and planning skills with the ability to work harmoniously with all campus constituencies and the community.
- 3. Good analytical skills.
- 4. Excellent critical thinking skills with the ability to appropriately address all inquiries and make referrals as necessary.
- 5. Working knowledge of personal computer applications, including word processing, electronic spreadsheets, and database management. I.e., Excel, CRMs, student information systems, PowerPoint, Word, and Outlook.
- 6. Ability to work with minimal supervision and to use sound professional judgement.
- 7. Ability to maintain strict confidentiality of information along with a record of honesty, dependability, and trustworthiness.
- 8. Proven ability to manage/coordinate complex administrative details, as well as necessary follow-up.
- Perform daily operations in support of workforce development and community education.
- Helps the vice president and directors develop and organize appropriate communications.
- Maintains records relating to workforce development.
- Performs customer service functions for workforce development areas.
- Assist students, prospects, and college staff by answering mail, email, and call inquiries regarding enrollment procedures and/or policies.
- Analyzes current procedures/processes in SOPs and introduces improvements and efficiencies to assist with meeting the college's overall mission and strategic goals.
- Assists with the daily schedule of meetings/events and provides administrative support in the preparation of appropriate information and materials.
- Assists with reporting of data for workforce development and preparation of reports for the President, SUNY, CCC Board of Trustees, and the college community.
- Provides administrative support for committees chaired by the vice president by taking and distributing minutes and organizing and coordinating all activities related to regular meetings.
- Monitors and shares any new curriculum changes and can update the college's catalog, program guide, and/or marketing materials.
- Collaborate with outside vendors and college staff to plan and coordinate special events.
- Assist in recruiting and managing volunteers for special events.
- Processes requisitions for the workforce development department.
- Other duties as assigned.
