  • Responsibilities

    A leading global investment management firm is seeking a detail-oriented and proactive Administrative Assistant to support its Legal & Compliance department. This individual will work closely with attorneys and compliance professionals, providing administrative, operational, and light compliance support in a fast-paced, highly professional environment.

    The ideal candidate brings 3+ years of administrative experience, exceptional organizational skills, a strong sense of discretion, and the ability to manage multiple priorities with precision.     Key Responsibilities

    • Provide day-to-day administrative support, including heavy calendar management, phone coverage, filing (both digital and physical), and document organization

    • Assist with database and document management, including processing, updating, and maintaining records, reports, and department systems

    • Manage invoice processing and billing coordination, including liaising with external legal vendors to ensure timely receipt, verification, and approval of invoices

    • Track attorney licensing requirements, bar memberships, and related compliance documentation

    • Coordinate domestic and occasional international travel arrangements, including detailed itineraries and logistics

    • Prepare and reconcile expense reports for the Legal & Compliance team

    • Assist with internal team events, department meetings, and ad-hoc projects

    • Provide backup reception coverage as needed, ensuring professional front-office representation and support (5 days onsite; early morning start required)

    Qualifications

    • Minimum 3 years of administrative experience, preferably within financial services, legal, or another highly regulated environment

    • Bachelor’s degree strongly preferred

    • Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)

    • Exceptional attention to detail, accuracy, and document management discipline

    • Strong verbal and written communication skills; polished and professional demeanor

    • Ability to work methodically, maintain structure, and meet deadlines in a fast-moving environment

    • Proactive, discreet, and capable of handling sensitive information

    • Team-oriented with a collaborative mindset and willingness to support colleagues when needed

     

    Compensation & Benefits

    • Base salary: $75,000 - $90,000 (commensurate with experience)
