Position Summary
We are seeking an experienced Administrative & Clerical On-Site Supervisor with strong warehouse exposure and bilingual communication skills. This role supports a high-volume warehouse client by overseeing employee needs, coordinating site processes, maintaining administrative flow, and ensuring smooth start-of-shift operations.
This position offers a degree of schedule flexibility and autonomy in planning your day; however, nightly on-site coverage between 12AM and 2AM is required to handle new starts, verify attendance, and support both current and incoming employees.
Key Responsibilities
Administrative & Clerical Oversight
- Maintain and update employee profiles, badges, attendance reports, and shift records.
- Complete site documentation, internal forms, and basic reporting tasks.
- Support onboarding activities such as collecting documents, verifying paperwork, and assisting new hires with site protocols.
- Maintain organized files, office supplies, and workflow systems to support daily operations.
Employee & Warehouse Floor Support
- Provide on-site supervision during nightly new-start windows (12AM–2AM).
- Greet employees, assist with check-ins, direct them to correct areas, and ensure smooth shift launches.
- Conduct walk-throughs to support employee needs and partner with warehouse leadership on headcount, performance, or attendance issues.
- Handle concerns, escalate issues when needed, and ensure employees understand site policies and expectations.
Client & Operational Coordination
- Serve as the primary point of contact between warehouse management and Abacus staff.
- Support daily operational needs, staffing adjustments, and workforce communication.
- Assist with badge distribution, compliance reminders, and procedural updates.
- Ensure professional representation of Abacus while maintaining strong client relationships.
Qualifications
- Administrative or clerical experience in a warehouse or industrial environment required.
- Strong bilingual communication skills (English/Spanish strongly preferred).
- Ability to work independently, stay organized, and manage shifting priorities.
- Comfortable addressing employees, supervisors, and managers in a fast-paced setting.
- Reliable transportation and the ability to travel locally when needed.
- Must be available for on-site visits every night between 12AM and 2AM.
