    Take the lead in our Marietta office and power up operations as our Administrative Coordinator!

    Position Overview

    We are seeking a highly organized, detail-oriented Administrative Coordinator to oversee the day-to-day operations of our Marietta office. This role provides critical support across multiple areas including general office administration, project scheduling, basic proposal generation, and accounts payable support. The ideal candidate is a problem-solver with a proactive mindset, strong communication skills, and the ability to thrive in a fast-paced, team-focused environment.

    Key Responsibilities

    Office Administration

    Serve as the first point of contact for staff and visitors

    Answer and direct phone calls; respond to general inquiries

    Maintain inventory of office supplies and place orders as needed

    Distribute mail and manage document filing (both digital and physical)

    Keep the office environment organized and efficient

    Project & Proposal Support

    Assist the project management team with scheduling work crews and tracking assignments

    Use company templates to prepare and send proposals to clients

    Update and maintain project documentation and internal calendars

    Adjust schedules as needed based on staffing or project demands

    Communicate changes and updates to internal teams clearly and promptly

    Accounts Payable & Expense Tracking

    Process invoices and assist with expense report reviews

    Monitor for missing or incomplete information and follow up as needed

    Escalate issues or inconsistencies to the appropriate team

    Required Skills & Experience

    Intermediate proficiency in Microsoft Excel and Word

    Working knowledge of Canva and CRM systems

    Strong attention to detail with excellent written and verbal communication skills

    Ability to manage multiple tasks and prioritize effectively

    Positive, professional demeanor with a commitment to customer service

    Comfortable working independently and taking ownership of assigned tasks

    Preferred Qualifications

    3+ years of experience in an administrative, office coordination, or project support role

    Experience in a construction, industrial, or engineering environment

    Associate degree in business administration or a related field preferred (or equivalent experience)
