    Executive Assistant + Client Experience Coordinator
    Location: Holland, Michigan (Hybrid-Remote)
    Reports To: Ross Hirdes, owner and Lead Designer
    Compensation: $50k - $60k per year) with additional benefits
    Schedule: Full-Time
    Position Summary:
    The Executive Assistant + Client Experience Coordinator ensures smooth, professional communication between the design office and its clients. This role supports lead designer and the client journey from initial inquiry through onboarding and ongoing engagement by managing meetings, correspondence, Builder Trend and CRM systems.

    Primary Responsibilities:
    ● Schedule meetings and manage calendars for client engagements
    ● Set up Zoom links and prepare agendas
    ● Take notes during client meetings
    ● Draft and send client communications (follow-ups, thank-you emails, rejections) Maintain accurate and timely lead tracking in HubSpot
    ● Coordinate delivery of onboarding materials, portfolios, and client gifts ●Book staff travel and manage logistical arrangements
    ● Manage and update project data in Buildertrend
    ● Track time, expenses, and credit card use across design projects
    ● Prepare and submit invoices
    Assist in tracking billables, receivables and generating internal profit/ loss reports
    Assist in tax tracking, payroll and quarterly payment coordinating with CPA

    Qualifications:
    ● 2+ years in client service or administrative support
    ● Strong writing and verbal communication skills
    ● Experience using HubSpot or similar CRM tools
    ● Highly organized with strong attention to detail

    Compensation & Benefits
    $50k - $60k per year depending on experience
    HSA contribution option
    1 week paid vacation after 6 months
