Job Summary
Beautiful Hearts and Minds Health Services is seeking a detail-oriented and organized Medical Records Specialist to join our behavioral health clinic team. This is a temporary 3–6 month position with the potential to become permanent based on performance and organizational needs. This role is responsible for maintaining accurate patient records, ensuring compliance with HIPAA regulations, and supporting both clinical and administrative operations, including client intake and front office support.
Key Responsibilities
Medical Records & Compliance
Maintain, organize, and update patient medical records (electronic and/or paper)
Process and track Release of Information (ROI) requests in compliance with HIPAA
Scan, index, and upload documents into the electronic health record (EHR) system
Ensure accuracy, completeness, and confidentiality of all patient records
Respond to internal and external requests for medical records in a timely manner
Perform regular audits of charts to ensure compliance with regulatory standards
Assist with record retention, storage, and destruction procedures
Administrative & Front Office Duties
Answer incoming calls and direct inquiries appropriately
Screen new clients and gather initial intake information
Assist with scheduling appointments and managing calendars
Ensure all enrollment and intake documents are completed accurately and timely
Provide general administrative support to clinical and office staff
Maintain logs and documentation related to client intake and records
Qualifications
High school diploma or equivalent required; Associate degree preferred
Minimum 1–2 years of medical records or healthcare administrative experience
Experience in a behavioral health or mental health setting preferred
Strong knowledge of HIPAA and confidentiality requirements
Familiarity with electronic health record (EHR) systems
Excellent attention to detail and organizational skills
Strong communication and customer service abilities
Preferred Skills
Experience handling Release of Information (ROI) requests
Knowledge of medical terminology
Ability to manage multiple tasks and meet deadlines
Proficiency in Microsoft Office and data entry
Work Schedule
Full-time or Part-time: up to 32 hours per week
Schedule may include weekdays with flexible hours
Paid semi-monthly (15th and last day of the month)
