Job Summary
We are seeking an experienced Administrative Office Assistant to join our team! In this role, you will support the daily operations of the practice by assisting with client communication, scheduling, referrals, and general administrative tasks.
You will serve as a central point of coordination between clients, therapists, and administrative processes, and operational workflows run smoothly. The ideal candidate is proactive, organized, and able to balance multiple responsibilities while maintaining professionalism and attention to detail.

REQUIRED QUALIFICATIONS
Experience with medical or mental health billing
Experience submitting insurance claims and working with payers
Familiarity with ICD-10 (and CPT codes preferred)
Experience verifying insurance benefits
Strong attention to detail and accuracy
Responsibilities
Provide professional and respectful customer service via phone, email, and in person Respond to calls, emails, and messages within expected timeframes
Serve as a point of coordination between clients, therapists, and internal operations Support scheduling, referrals, and client intake processes
Maintain accurate logs and trackers (Call Log, Referral Tracker, etc.) Ensure administrative workflows are followed consistently and thoroughly
Assist with basic billing tasks including charging services and supporting client balances Communicate payment-related information clearly and professionally when needed
Support daily office operations and ensure a smooth and organized environment Assist with administrative tasks, documentation, and coordination as assigned
Assist with social media coordination and content collaboration as directed

Qualifications
Strong communication and customer service skills
Highly organized and detail-oriented
Ability to manage multiple tasks and prioritize effectively
Comfortable working within structured systems and processes Proactive, reliable, and solution-oriented
Previous administrative experience preferred
Experience in a healthcare or mental health setting is a plus
Extensive knowledge of clinical risk management
Excellent written and verbal communication skills
