Overview: The primary role of the Administrative Office Assistant position is to act as the initial point of entry and contact for all inbound callers and visitors to the firm, screening and routing calls to the appropriate party, as well as conducting legal intake for all potential new clients wishing to retain the firm and general office responsibilities/duties. Responsibilities: Administrative Tasks • Daily oversight of the office, including ensuring tidiness. • Receiving/organizing/sending mail via USPS and/or other carriers. • Responsible for placing office supply orders. • Act as a point of contact between building management and the firm. • Responsible for all inbound calls and call routing for the firm. • Performs initial legal intake with callers looking to retain the firm. Matrix of Tasks Daily • Answers and routes all inbound calls for the firm. • Performs legal intake for each qualified lead that comes into the firm. • Schedules consults for the Non-Attorney Salesperson. • Receives, sorts, and organizes inbound mail and packages. • Ensures tidiness of the office space and common areas. • Assist with special projects, as needed. • Provide necessary reporting for legal intake to the Director of Operations and the head of sales/marketing each week. • Place supply orders for the office space firm team members. Qualifications: • High school diploma or equivalent. • Excellent written & verbal communication skills required. • Ability to adapt quickly and work in a fast-paced setting. • Prior experience as a legal intake specialist in a law firm is strongly preferred. Compensation: $50,000 - $58,000
