Aero Logistics is looking for an organized, reliable Administrative Operations Coordinator to join our growing organization. This position will provide high-level support to the Administration Division which includes Finance and Human Resources. This role serves as a point of contact for applicants, employees, vendors, and clients. The function of the Administrative Operations Coordinator is to keep the Administration Division running efficiently by coordinating activities that support the day-to-day operation.
Duties & Responsibilities:
- Process/sort all incoming mail and packages and deliver them to various departments.
- Monitor supplies and reorder, when necessary – copier, breakroom, office supplies, etc.
- Manage the front desk by greeting visitors and scheduled appointments.
- Prepare and process reports, memos, letters, financial statements and other documents using Microsoft Suite.
- Collating, preparing, and issuing information related to customer accounts, including invoices, bills, account reports, and any other relevant financial statements, using computerized systems.
- Operating database software and electronic billing systems to review financial data, correct discrepancies, and reconcile accounts appropriately.
- Assisting with the hiring process, conducting interviews, and assisting with employee onboarding.
- Tracking employee attendance, PTO time, and performance reviews.
- Organizing employment records and processing company paperwork and files.
- Manage the Rewards and Recognition programs to include birthday recognition, employee meals, and retention.
- Oversee the Employee Uniform Program.
- Other duties as assigned.
Requirements and Qualifications:
- Proficiency in data entry and typing skills.
- At least 2 years’ minimum experience as Administrative Operations Coordinator in Finance and/or Human Resources.
- A critical thinker with an eye for continuous improvement, and attention to detail.
- Demonstrated problem solving and decision-making skills.
- Excellent verbal and written communication skills.
- Proficient in Microsoft Office Suite, including Excel, Word, and Outlook.
- Experienced user of Quick Books, minimum 2 years experience required.
- Reliable transportation to and from work.
- Ability to work Monday – Friday, on site, as remote work is not available.
- Physical ability to work in an office setting:
- Sit for prolonged periods of time.
- To occasionally stoop, bend, kneel, crouch, reach and twist.
- To lift, carry, push, and/or pull light to moderate amounts of weight up to 20 lbs.
- Operate office equipment requires repetitive hand movement.
