AlleyCo Homes is seeking a Licensed Executive Assistant to the Team Leader. The ideal candidate is a confident, strong communicator. This is primarily an in-office position. Responsibilities: Transaction Management • Duties include: managing files from contract to closing, listing input and maintenance, and preparing documents. Communicating with lenders, attorneys, vendors, and clients to deliver a seamless process. Manage CRM and business platform to track all tasks. The EA is also responsible for all input and updates in the MLS and company platform for processing and compliance. A high level of accuracy and attention to detail is required. Client Care • EA needs to be a polished and positive brand representative and deliver the highest level of customer service. Prep seller and buyer presentations, property and showing information, and coordinate schedules. Manage outbound mail joy- closing gifts, agent gifts, client birthdays. EA will occasionally cover showings if the Team Lead is unavailable or traveling. EA will run errands and go meet the plumber, contractor, inspector, photographer, etc. Marketing Coordination • EA will prep and send newsletters, mailers, seasonal and birthday mail, referral gift programs, pop-bys, swag orders, and coordinate client appreciation events. Update website/blog. Admin/Office support • EA will maintain supplies, track incoming inquiries, create and update an operations manual, and manage leads' email and calendar. Qualifications: • High school diploma or equivalent required • Used to handling private information and meeting hard deadlines • Excellent communication skills and organizational skills • Real estate license or real estate experience is a plus, but not required • Familiarity with any of the following: Canva, CRM, MLS, Salesforce, or any sales pipeline tracker, Asana, Google Suite, FloDesk, etc • Reliable transportation and a willingness to run errands Compensation: $20 - $25 hourly
