    Job Overview

    We are seeking an Advanced administrator/secretary to provide high-level administrative and clerical support to management and departmental leadership within a public transportation organization. This role requires strong organizational skills, discretion, and the ability to manage multiple priorities while supporting daily operations. The position may serve as a lead administrative resource, coordinate office activities, and act as a liaison between departments, staff, and the public. Perform other duties as assigned.

    Experience Requirements:

    • Minimum of 5 years of progressively responsible administrative or secretarial experience
    • Experience providing administrative support to management, executives, or department leadership
    • Advanced experience with multi-line phone systems, scheduling, and calendar management
    • Strong experience with document preparation, data entry, filing systems, and records management
    • Proficiency in Microsoft Office Suite (Word, Excel, Outlook; PowerPoint preferred)
    • Experience handling confidential and sensitive information with discretion

    Experience Preferences:

    • Experience working in a government, public agency, or transportation-related environment
    • Experience coordinating meetings, preparing agendas, and taking meeting minutes
    • Experience with procurement documentation, invoicing, or contract support
    • Lead or supervisory experience over administrative or clerical staff
    • Familiarity with enterprise systems or internal databases

    Physical Requirements:

    • Ability to sit or stand for extended periods of time
    • Ability to lift and carry up to 25 pounds (files, office supplies)
    • Frequent use of hands for typing, filing, and operating office equipment
    • Ability to bend, reach, and walk within an office environment
    • Adequate vision and hearing to perform clerical tasks and interact with staff and the public

    Education Requirements:

    • High school diploma or GED

    Education Preferences:

    • Associate degree in Business Administration, Office Administration, or a related field
    • Additional training or certification in administrative support, executive assistance, or office management
    • Coursework in records management, public administration, or business operations
