Job Overview
We are seeking an Advanced administrator/secretary to provide high-level administrative and clerical support to management and departmental leadership within a public transportation organization. This role requires strong organizational skills, discretion, and the ability to manage multiple priorities while supporting daily operations. The position may serve as a lead administrative resource, coordinate office activities, and act as a liaison between departments, staff, and the public. Perform other duties as assigned.
Experience Requirements:
- Minimum of 5 years of progressively responsible administrative or secretarial experience
- Experience providing administrative support to management, executives, or department leadership
- Advanced experience with multi-line phone systems, scheduling, and calendar management
- Strong experience with document preparation, data entry, filing systems, and records management
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook; PowerPoint preferred)
- Experience handling confidential and sensitive information with discretion
Experience Preferences:
- Experience working in a government, public agency, or transportation-related environment
- Experience coordinating meetings, preparing agendas, and taking meeting minutes
- Experience with procurement documentation, invoicing, or contract support
- Lead or supervisory experience over administrative or clerical staff
- Familiarity with enterprise systems or internal databases

- Ability to lift and carry up to 25 pounds (files, office supplies)

Education Requirements:
