    Job Title: Administrative Secretary Location: Santa Rosa, CA Pay Rate: $24-25/hour Job Type: Part-Time (Potential to become Full-Time based on performance)

    Position Overview: We are seeking a reliable and detail-oriented Administrative Secretary to support our office operations. This role is essential in maintaining smooth communication, organization, and administrative efficiency within our agency.

    Key Responsibilities:

    Reception & Communication:

    Greet visitors and answer phone calls professionally

    Communicate with staff and clients via email, phone, and in-person

    Relay messages and coordinate schedules as needed

    Administrative Support:

    Attend meetings and take detailed notes

    Maintain physical and digital filing systems

    Prepare and edit documents using Microsoft Word and Excel

    Assist with scheduling appointments and meetings

    Monitor and order office supplies

    Office Maintenance:

    Perform light housekeeping duties to maintain a clean and organized workspace

    Ensure common areas are tidy and stocked

    Recordkeeping & Documentation:

    Update staff records and client files

    Track and organize agency documentation and reports

    Other Duties:

    Support HR and payroll processes as needed

    Assist with onboarding new staff

    Handle confidential information with discretion

    Qualifications:

    Associate's Degree or higher

    High level of professionalism and a strong ethical compass

    Experience in an administrative or secretarial role (preferably in healthcare or caregiving settings)

    Proficiency in Microsoft Office Suite, especially Word and Excel

    Strong organizational and multitasking skills

    Excellent written and verbal communication abilities

    Ability to work independently and as part of a team

    Schedule: Monday to Friday / 20 hours per week.
