Title: Administrative Specialist II (49226)
Location: City of Virginia Beach, VA
Payrate: $24.86 per hour
Schedule: Monday – Friday, 8:00 AM – 4:30 PM
Position Overview
The City of Virginia Beach is seeking a motivated and detail-oriented Administrative Specialist II to support departmental operations and lead coordination of the annual Holiday Project. This role is ideal for someone with strong organizational, communication, and administrative skills who enjoys working with both internal teams and community partners.
Key Responsibilities
- Manage and oversee the Departmental Holiday Project, including:
- Organizing and recognizing donors
- Coordinating referrals from departmental staff
- Collaborating with churches and community organizations
- Recruit, train, and supervise project volunteers
- Maintain and compile program data and statistics, and prepare a detailed annual report
- Prepare and manage community correspondence and program documentation
- Collect, track, and analyze data to support departmental initiatives
- Conduct interviews to gather, interpret, and utilize information accurately
- Aid during challenging customer interactions, demonstrating professionalism and sound judgment
- Maintain knowledge of community resources and departmental services
- Support general office operations, procedures, and administrative functions
Qualifications
- High school diploma or equivalent required
- Experience in administrative, clerical, or customer service roles preferred
- Strong organizational and project management skills
- Proficiency in computer applications for correspondence, data tracking, and reporting
- Ability to collect, analyze, and present data effectively
- Strong interpersonal and interviewing skills
- Ability to supervise volunteers and work collaboratively in a team environment
- Excellent written and verbal communication skills
- Ability to build and maintain positive relationships with staff, customers, and community partners
- Ability to manage sensitive or difficult situations with professionalism
