Job Summary
Crescenta is a biotechnology company dedicated to developing novel therapies for metabolic and autoimmune diseases and cancer. We are seeking a highly organized, detail-oriented Administrative & Operations Coordinator to support the day-to-day business and administrative operations of our early-stage company. This role will work closely with company leadership, employees, and external service providers to help ensure that the Company’s administrative, financial, human resources, and operational activities run smoothly.
The Administrative & Operations Coordinator will serve as a central administrative resource for the Company and will help establish and maintain efficient processes as the organization grows. The ideal candidate is proactive, dependable, discreet, and comfortable managing multiple priorities in a dynamic environment.
Responsibilities
Coordinate general administrative activities and support day-to-day company operations
Manage purchasing, vendor relationships, service providers, and office-related needs
Process invoices, employee expenses, and other payments in coordination with the Company’s bookkeeping and accounting providers
Maintain organized administrative, financial, corporate, and operational records
Coordinate with external accountants, attorneys, benefits providers, insurance brokers, and other professional service providers
Support HR and benefits administration, including onboarding, employee records, benefits coordination, and related communications
Assist with corporate recordkeeping, filings, renewals, licenses, and insurance administration
Coordinate meetings, calendars, travel arrangements, and related logistics
Support Board and leadership meetings, including scheduling, preparation of materials, and follow-up on action items
Help develop, document, and improve administrative and operational processes
Serve as a responsive point of contact for employees, vendors, consultants, and other external partners
Handle confidential company, employee, financial, and corporate information with discretion
Perform other administrative and operational duties as needed
Qualifications
3+ years of experience in administrative, operations, office management, or a related role
Experience supporting executives, leadership teams, or small organizations preferred
Experience in a biotechnology, life sciences, healthcare, technology, or other startup environment is a plus
Strong organizational skills and exceptional attention to detail
Ability to manage multiple priorities, meet deadlines, and follow through independently
Excellent written and verbal communication skills
Strong judgment, professionalism, and discretion when handling confidential information
Comfortable working with vendors, consultants, accountants, attorneys, benefits providers, and other external partners
Proficiency with common productivity and collaboration tools, including email, calendars, spreadsheets, and document-management systems
Familiarity with invoice processing, expense management, bookkeeping coordination, HR administration, or corporate records is helpful
Ability to work effectively in a flexible, fast-paced, and evolving environment
Schedule
This is a part-time position requiring approximately 25 hours per week. The schedule may be flexible, but the successful candidate should be available during agreed-upon business hours and able to provide timely support for meetings, deadlines, and operational needs.
