    Our successful Keller Williams Beverly Hills Real Estate office is seeking an Administrator Front Desk team member!

    Administrative & Reception Duties

    ● Answer phones, take messages, and forward calls appropriately.

    ● Sort mail and packages and distribute accordingly.

    ● Log all commission checks received from escrow companies; ensure each check is accurately recorded and promptly delivered to the MCA assistant for processing.

    ● Schedule appointments, manage calendars, and assist with basic administrative tasks.

    ● Support other departments with overflow administrative needs.

    ● Handle scheduling of conference rooms, equipment use, and shared spaces to avoid conflicts.

    ● Set up Zoom meetings.

    ● Greet and assist all agents with professionalism and warmth, regardless of their production level.

    ● Serve as the point of contact between agents and the rest of the office staff, enforcing boundaries as needed.

    ● Confidently give direction and ensure agents follow office procedures and protocols.

    Office Cleanliness & Upkeep

    ● Take full ownership of the cleanliness and presentation of the front desk and common areas.

    ● Ensure that the kitchen, lobby, common areas and conference rooms are tidy throughout the day.

    ● Water and maintain indoor office plants regularly. ● Keep an eye on supply levels and restock or report as necessary.

    Maintenance & Vendor Coordination

    ● Be the main point of contact for maintenance issues—identify problems, contact vendors, and follow up until resolution.

    ● Coordinate with building management and external service providers as needed.

    ● Keep a log of ongoing maintenance issues and ensure timely updates to the team.

    Agent Support

    ● Provide guidance to agents on how to use the printer, including troubleshooting common printing issues.

    ● Manage cubicle and office assignments for agents - Coordinate the distribution of workspaces as agents join or transition.

    ● When a new agent joins, ensure they receive all necessary tools and access: printing codes, key fobs, physical keys (if assigned an office).

    ● Coordinate the offboarding process when an agent leaves - collect keys/fobs/schedule cubicle or office cleaning, repainting, and necessary repairs before reassigning the space.

    Communication & Professionalism

    ● Communicate clearly, directly, and respectfully with all team members.

    ● Serve as the “first impression” of the office—appearance and attitude should reflect professionalism at all times.

    ● Ability to de-escalate tension and maintain a calm, proactive demeanor under pressure.

    Language Skills (Preferred)

    ● Bilingual (Spanish/English) is a plus, especially when assisting clients or vendors.
