    Part-Time | On Campus | Monday–Friday, 9:00 AM–12:00 PM

    Creative STEAM Academy is looking for a highly organized, detail-oriented, and friendly Admissions & Billing Coordinator to join our campus team. This role is ideal for someone who is tech-savvy, enjoys working with families, and takes pride in making sure every detail is completed accurately and professionally.

    The Admissions & Billing Coordinator will be responsible for helping new families move smoothly through the enrollment and onboarding process while also supporting monthly billing, payment tracking, and account follow-up.

    Key Responsibilities

    The Admissions & Billing Coordinator will:

    Contact new families as admissions come in and provide a warm, professional onboarding experience

    Guide families through the enrollment process from start to finish

    Enter new students and families into our school operating system

    Ensure tuition, registration, materials fees, charter funds, and recurring payments are set up accurately

    Confirm that all required forms are completed, including contracts, handbooks, waivers, and enrollment paperwork

    Maintain clear onboarding checklists so every family account is complete and accurate

    Upload and track charter school funds, purchase orders, and payment documentation

    Follow up monthly with families regarding payments, outstanding balances, and account updates

    Communicate professionally with families by phone, email, and text

    Maintain accurate spreadsheets, reports, and billing records

    Work closely with the leadership team to ensure admissions and billing are organized and up to date

    Provide excellent, white-glove customer service to every family

    Ideal Candidate

    We are looking for someone who is:

    Extremely detail-oriented and organized

    Comfortable with phone calls and family communication

    Friendly, professional, and customer-service focused

    Tech-savvy and confident using Google Workspace, Google Drive, spreadsheets, and online platforms

    Able to create and maintain data, reports, checklists, and tracking systems

    Reliable, proactive, and able to follow through without constant reminders

    Able to handle confidential family and billing information with professionalism

    Comfortable working on campus in a busy school environment

    Strong at checking details, catching errors, and making sure nothing falls through the cracks

    Preferred Experience

    Experience in admissions, billing, enrollment, office administration, customer service, or school operations

    Experience using school management systems, billing platforms, spreadsheets, or CRM-style systems

    Experience working with families, students, or educational programs is a plus

    Schedule

    This is an on-campus, part-time position.

    Hours: Monday–Friday, 9:00 AM–12:00 PM Location: Creative STEAM Academy campus
