Role Summary The Admissions & Intake Clerk supports the front end of the Revenue Cycle by ensuring that patient information, intake documentation, and insurance details are accurate, complete, and properly maintained across all systems. This role is foundational to clean claim submission and timely reimbursement.
The Admissions & Intake Clerk works closely with program coordinators, clinical staff, and the billing team to maintain data integrity, verify insurance coverage, and support a smooth intake experience for both staff and patients.
Essential Duties
· Create and maintain accurate patient accounts and demographics across all systems.
· Review intake paperwork for completeness, accuracy, and proper storage.
· Upload and organize required forms according to policy.
· Verify insurance eligibility and benefits for all new and returning patients.
· Contact insurance payers via phone or online portals to confirm coverage and resolve discrepancies.
· Correct invalid or incomplete patient or insurance data.
· Communicate insurance verification status to program coordinators and flag missing information to maintain workflow.
· Collaborate with Admissions, Clinical, and Billing teams to support a smooth intake process.
· Distribute financial consent forms and ensure all required documentation is received prior to service.
· Maintain HIPAA compliance and handle patient information responsibly in accordance with organizational policies and procedures.
Qualifications
High attention to detail and accuracy in data entry.
Ability to navigate and reconcile multiple electronic systems.
Comfortable using computers, email, and payer verification portals.
Professional and courteous communication, both written and verbal.
Ability to prioritize and manage multiple tasks.
Adaptability to change and willingness to learn evolving RCM processes.
Prior experience in healthcare billing or insurance verification preferred but not required.
Working Conditions & Physical Requirements
This position is primarily office-based with regular use of a computer, phone, and other standard office equipment.
Requires prolonged periods of sitting and data entry.
Must be able to lift and carry up to 15 pounds occasionally (e.g., files, office supplies).
Frequent communication with staff and patients via phone, email, and in person.
May require occasional walking between departments or filing areas.
Work is performed in a professional healthcare environment with adherence to HIPAA and confidentiality standards.
