About the Position
The Advancement Operations Coordinator is a newly created role on ASP’s Advancement team, designed to strengthen the operational excellence and donor experience. This position plays a vital role in ensuring hundreds of donations each month are processed accurately, gift acknowledgements are timely and meaningful, and the team has the data and logistical support needed to meet its annual fundraising goals.
Reporting to the Director of Advancement Operations, the Advancement Operations Coordinator provides daily operational support to the Major Gifts, Grants/Strategic Partnerships, Programs, Executive Leadership, and Administrative teams. This is an in-office position. Remote candidates will not be considered. This role is well-suited for a professional eager to build a long-term career in nonprofit fundraising, donor relations, or Advancement operations with a mission-driven, Christian organization.
Job Responsibilities
Advancement Systems and Data Management
Develop and maintain working proficiency across ASP's Advancement technology ecosystem, including eTapestry (donor CRM), Fundraise Up, Double the Donation, Memory Fox, Viewspark, Skycog, ASPire, SharePoint, and Dropbox; proactively identify how these systems intersect and where workflows can be streamlined or better integrated
Design, run, and maintain recurring and ad hoc reports to support donor cultivation, campaign performance tracking, and fundraising strategy; translate raw data into clear summaries and visualizations that inform team decision-making
Conduct ongoing analysis of donor trends, giving patterns, donation categories, and geographic opportunities, and actively participate in interpreting findings to support cultivation strategies and advancement goals
Serve as a steward of data integrity across platforms by establishing consistent data entry standards, performing routine audits of donor and gift records, resolving discrepancies across systems, and flagging systemic issues for process improvement
Identify inefficiencies and redundancies in current Advancement data workflows and recommend practical improvements; support the implementation of new processes, system features, or integrations that enhance team productivity and data reliability
Donation Processing and Donor Acknowledgement
Assist with daily mail processing and entering donation information accurately into the donor database, eTapestry, maintaining a high level of data integrity
Help facilitate timely gift letter acknowledgements for each gift processed
Prepare monthly thank you letters for CEO and Board Chair signatures
Donor Stewardship and Customer Service
Serve as first point of contact for donor and community partner phone inquiries and website contacts
Provide prompt, donor-centric responses to donor emails and phone calls, routing to other team members as necessary
Manage inventory of acknowledgment stationery and materials, branded supplies, and ASP swag for individual gifting and events
Direct Mail and Vendor Coordination
Support ASP’s direct mail program, coordinating with external vendor for the execution of 8-10 annual appeals
Gain a working knowledge of ASP direct mail program, its goals, strategies and cadence
Serve as point person for ASP’s annual donor recognition gift program for monthly donors and other key stakeholders, choosing gifting options and facilitating gift fulfillment
Cultivate and maintain strong working relationships with Advancement vendors including Nimble Connect, RWT, Interstate Graphics, Harbor Compliance, NewportOne, Viewspark, and others
Candidate Qualifications
Required:
Commitment to working in a Christian environment and supporting ASP’s mission
Two years of experience in an administrative or support staff role
Adept with technology and able to quickly learn and utilize digital tools, systems, and databases
Ability to manage multiple projects and deadlines simultaneously in a fast-paced environment
Ability to provide excellent donor-centric customer service
Exceptional organization, attention to detail, and follow-through
Strong communication and interpersonal skills
Excellent time management skills
Ability to work collaboratively in a shared office space
Flexibility to work occasional irregular hours as required to provide support to Advancement team leadership at 2 – 3 annual ASP fundraising events.
Desired:
Previous nonprofit fundraising experience
Prior experience with various database systems and reporting/data analysis functions
Graphic design skills
Familiarity with EOS (Entrepreneurial Operating System)
Keen interest in growing a career in fundraising, donor relations, marketing, event planning, and nonprofit management
Other Requirements:
Valid driver’s license and driving record that is acceptable to ASP’s insurer
Lifting items (boxes, materials) weighing up to 50 pounds with or without assistance
Satisfactory results on a thorough background check
