As our Afternoon Receptionist, you'll be at the heart of our office operations, ensuring everything runs smoothly and delivering exceptional service. From managing enrollments and billing to handling client communications and keeping our facility in tip-top shape, this role is perfect for someone who loves multitasking and interacting with people. You’ll play a key role in creating a welcoming environment for students and clients alike!
WHAT WE'RE LOOKING FOR:
Education: A high school diploma or equivalent is required.
Experience: A minimum of two years in an administrative role is preferred.
Technical Skills: Proficiency in Google Drive, spreadsheets, and CRMs is essential. A quick ability to adapt to new software is a plus.
Communication Skills: Strong verbal and written communication skills are required. The role involves confidently handling phone inquiries, effectively communicating program benefits, and maintaining excellent organizational practices.
Interpersonal Skills: The ideal candidate thrives in a collaborative environment, is approachable and friendly, and enjoys engaging with children and families.
Team Player: You’re open to cross-training in preschool, camps, and classes to step in during emergencies, ensuring program continuity and a seamless experience for our families.
WHAT YOU'LL BE DOING:
Daily Operations & Compliance: Oversee the smooth operation of the office, ensuring all programs adhere to standard procedures. Enforce lobby protocols, such as proper use of seating areas and supervising children. Respond to urgent cleanliness or safety issues in the gym as needed. Sales & Enrollment: Take ownership of the sales process from start to finish. Respond to initial inquiries via phone or email, connect with potential clients, clearly communicate program benefits, collect contact information, nurture leads, provide consistent follow-up, and successfully close registrations. Customer Service: Provide outstanding customer service by warmly greeting incoming and exiting customers, addressing questions, resolving concerns, and going above and beyond to assist when needed. Cleanliness & Facility Maintenance: Maintain the cleanliness of all common areas, including the exteriors, lobby, restrooms, and office spaces, ensuring they are welcoming and safe. Oversee nightly cleanings to ensure the facility remains clean, organized, and compliant with all minimum standards. Software & Administration: Master company software and CRM systems to manage sales, process registrations, track inventory, generate reports, and handle administrative tasks efficiently. Positive Workplace Culture: Foster a friendly, professional, and organized environment. Maintain clear communication via DSU, emails, voicemails, texts, and CRM leads to keep operations running smoothly. Event Preparation: Prepare for upcoming events by organizing marketing materials, skill charts, welcome bags, and other necessary items. Take charge of organizing and running Advancement Shows every 8 weeks, ensuring seamless, fun-filled Saturday events that celebrate student progress. Additional Responsibilities: Take on additional tasks and responsibilities as assigned by the Manager or Employer to support the success of the office and gym.

Monthly Staff Meetings: Attend mandatory staff meetings, which may include theme training, idea sharing, and team-building activities. These meetings are scheduled to accommodate various needs, including Saturday sessions.
Parents’ Night Out: Participate in exciting Friday night events throughout the year, offering parents a well-deserved break while kids have a memorable time.
Camp Jump!: Be a part of our day camps during AISD school holidays, depending on your schedule.
Decor Days, Events & Parties: Help transform the gym for themed events and participate in special events and parties (available at select locations).

Mondays from 2:00pm - 8:00pm
Tuesdays from 2:00pm - 8:00pm
Wednesdays from 2:00pm - 8:00pm
Thursdays from 2:00pm - 8:00pm
Saturdays from 8:30am - 2:00pm

REQUIREMENTS:
Must be 18 years of age or older.
High school diploma or equivalent required
Ability to pass a comprehensive background check.
PHYSICAL REQUIREMENTS:
Ability to see and hear clearly from up to 20 yards away to ensure a safe and engaging environment.
Must be able to stand, walk, and remain active for extended periods throughout the workday.
Comfortable with frequent squatting, kneeling, sitting on the floor, and reaching overhead to support children and maintain the facility.
Capability to lift, push, pull, or carry items weighing up to 25 pounds regularly and up to 50 pounds occasionally.
Prepared to step into physical tasks as needed, such as assisting children with activities or tidying shared spaces.
