JOB SUMMARY

 The primary responsibility of the Associate Finance Director is to work in partnership with the Executive Director in developing financial reports, maintaining the integrity of financial records, researching transactional issues, complying with financial procedures, and maintaining personnel records.  This staff member will use financial acumen to evaluate the reasonableness of financial reports and will manipulate the database  to solve problems.  The Associate Finance Director will process payroll, new hire records, deposits, contributions, and accounts payable.  A high degree of accuracy, confidentiality and sound judgment is required in the position.  The Associate Finance Director will interact in a positive, professional manner with church staff, congregants, vendors, and the community in order to Welcome all people, Build community, Share God’s love, and Serve the world.

JOB DUTIES

 ACTIVELY DEMONSTRATE A LOVE FOR CHRIST AND EMBODY THE MISSION, PURPOSE, AND VALUES OF THE UNITED METHODIST CHURCH AND AHUMC.

FINANCIAL REPORTING FUNCTION:

•  Prepares reports for the Board of Stewards, Foundation, Finance Committee and Board of Trustees to include spreadsheets and the manipulation of data from the AHUMC financial programs.
• Reviews Financial Reports for reasonableness and researches /resolves anomalies.
• Provides staff with budget reports; assists in the research of transactional questions. 
• Prepares journal entries to make basic corrections to the database.
• Prepares reports needed by church auditors and regulators.

CONTRIBUTIONS/RECEIPTING FUNCTION

• Works with volunteers to count and/or verify monies coming into the Finance Department.  Prepares deposits as necessary. 
• Ensures that all checks are properly identified as contributions, memorials, facility usage fees, and miscellaneous payments.
• Serves as a backup to contributions processing.
• Researches questions that congregants have regarding contributions.
• Enters miscellaneous receipts into the database and prepares deposits.
• Serves as primary point of contact for the Finance Department for the annual Pumpkin Patch project.
• Makes weekly bank deposits.
• Collects and deposits vending receipts.

ACCOUNTS PAYABLE FUNCTION

• Processes weekly checks for the Hope Center and assigned vendors.
• Manages the payment process for the AHUMC Visa bill.
• Serves as a back up to review and approval of incoming invoices.  Checks for proper coding.   Secures account code if necessary.
• Ensures that approval procedures are followed regarding requests for payment.
• Works with vendors regarding invoice questions.
• Makes inquiries into the database to resolve AP questions
• Works closely with AP volunteers- provides direction if needed.
• Oversees and maintains AP files.  Works with volunteers to prepare filing cabinets for the new year.

PAYROLL FUNCTION

• Processes payroll and manages payroll tax compliance.
• Secures new hire paperwork and maintains employee files.
• Makes inquiries to the database for personnel questions.
• Runs personnel reports from the database.
• Makes changes as needed to employee information in the database.
• Produces required ACA and Worker’s Compensation reports.
• Assists the Executive Director with annual benefits enrollment and wellness programs.
• Maintains and updates the AHUMC employee handbook.
• Provides annual 403B eligibility notice to employees.
• Serves as point of contact for Safe Gatherings and child safety policies.
